Research on the Design and Whole-Process Optimization of Teaching Document Management System in Higher Education Institutions

This article proposes a set of strategies for the design and implementation of a teaching document management system based on the optimization of the whole process in view of the current situation and challenges of teaching document management in China's higher education institutions. By delving into the nature and issues of teaching document management, it exposes the flaws in the conventional management approach and their underlying causes. Building on this analysis, the paper elaborates on the system’s goals, overall architectural design, functional components, and the overall optimization of the process strategy. The system utilizes Microsoft Word as the primary data vessel, establishing a standardized Word template format, and employs the Office OpenXML SDK for template interpretation and data population. It also incorporates the MongoDB database to accommodate the frequent shifts in data structure. The optimization of the whole process encompasses material submission, multi-tiered review, storage, and retrieval, markedly enhancing the management's efficiency, adherence to standards, and transparency. The paper discusses the system's benefits and offers recommendations for process reengineering and refinement, with the intent to furnish theoretical guidance and a practical framework for the management of teaching documents in Chinese universities.
