Analysis and Design of User Experience (UX) for Human Resource Information System (HRIS) Time Management System (TMS) Module at PT Astra Daihatsu Motor

In large companies, management of human resources using a Human Resource Information System (HRIS) is of utmost importance. The HRIS serves as a system for collecting, storing, managing, analyzing, and presenting data to provide HRD needs. At PT ADM, the HRIS currently consists of various modules, such as employee data, performance management, people development, and time management systems (TMS). Among these modules, TMS stands out with its high transaction volume. However, HRD PT ADM frequently receives complaints about the confusing process associated with the TMS module. To address this issue, an analysis was conducted to evaluate the user experience within the TMS module of the HRIS. The objective was to identify usability issues and propose a prototype for website improvement, using the Design Thinking approach. To measure usability, the System Usability Scale was employed, and questionnaires were distributed to gather feedback. Out of the total population, 49 respondents participated (>10% response rate). The questionnaire’s results yielded an overall rating of 66.7, indicating poor usability. The identified issues on the HRIS website mainly revolved around inconsistent language terms, excessive sidebar menus, unnecessary menu items, filter problems, and SAP integration challenges. Based on these findings, a prototype for the HRIS was developed, and user feedback was collected. The feedback received an average rating of 4.5 out of 5, signifying a significant improvement in the system usability. The new prototype has greatly facilitated the HRIS process, solving the previous difficulties faced by users.
