Digitalization of Document Management and Monitoring in the Department of the Interior and Local Government Negros Occidental

The proponents propose a document management and monitoring system in light of the challenges of poor document management in the government sector. Agile Scrum methodology guided the system’s functionality and features development. The selected beneficiary of the target system was the Department of the Interior and Local Government (DILG) Negros Occidental. The system has four modules: user access role, document management, document tracking, and reports modules. It was then presented to the administrators and staff of the DILG Negros Occidental. According to the major stakeholders, the developed system has successfully reduced the organization’s workload and document retrieval time. Indeed, a well-designed document management and monitoring system is significant in enhancing and digitalizing public services while ensuring quality and public-friendly processes. The system effectively addressed the challenges faced by traditional document management. It improves collaboration and document version control through cloud-based storage and incorporates an access control module that ensures document security and compliance measures. To further this study, researchers should undergo a comprehensive quality evaluation process and deploy the system in DILG offices in other regions. Government and non-government organizations can use the system developed in this study to streamline the document management and monitoring process. This system is a response to the government’s call for digitalization. Moreover, the developed system contributes to the United Nations’ sustainable goal of promoting innovative digital technologies and infrastructure to improve government services and operations.
